Officer Responsibilities

DEACONS

The Service of the Chairmen of Deacons/Trustees
  1. Attend monthly finance committee meetings.
  2. Count the offerings with the Treasurer or Financial Committee Member.
  3. Sign checks with the Financial Secretary and/or the Treasurer.
  4. Stay in contact with the Pastor weekly.
  5. Count votes with Church Clerk for church elections.
  6. Holds other Trustees/Deacons accountable for their responsibilities.
  7. The Chairman of the Deacons will act as the Moderator of the Church for business meetings when the church does not employ either a Pastor or an Associate Pastor.
 

Deacon
  1. Preach at least once a year.
  2. Come forward for the invitation as an altar worker.
  3. Offer benevolence to the needy and communicate with the Pastor about any financial needs.
  4. Care and lead the widow ministry with reports to the church office.
  5. Pray with Pastor before services at 9:10am.
  6. Go on visitation at least once a month on a rotation.
  7. Attend the bi-monthly Deacon meetings.
  8. As Deacon of the week, you will be on call to visit hospitals.
  9. Help in the service of communion.
  10. Handle problems respectfully during the service.
  11. Advise the Pastor through giving your opinion honestly and joining with him in prayer.
  12. Set the Pastor’s Salary.
  13. Approve all expenses from $1000-5000 for budgeted items.
  14. Attend annual budget meeting in December.
  15. Each Deacon will oversee a ministry of either: Benevolence, Hospitals, Missions and Communion.
  16. Be committed to the support of the Pastor and an effective church ministry.
 1 Timothy 3:8-13, “Likewise must the deacons be grave, not doubletongued, not given to much wine, not greedy of filthy lucre;  9 Holding the mystery of the faith in a pure conscience.  10 And let these also first be proved; then let them use the office of a deacon, being found blameless.  11 Even so must their wives be grave, not slanderers, sober, faithful in all things.  12 Let the deacons be the husbands of one wife, ruling their children and their own houses well.  13 For they that have used the office of a deacon well purchase to themselves a good degree, and great boldness in the faith which is in Christ Jesus.”

TRUSTEES

The Service of the Chairmen of Deacons/Trustees

Trustee
          1. Oversee the Building Needs
  • On call for maintenance issues on a rotation of Trustee of the Week.
  • Get bids for any project that needs to be done.
  • Be willing to lock up if needed.
  • Advise the Pastor through giving your opinion honestly about building projects and prayer
     
          2. Oversee the Mission Ministries of the Church 
  • Review the mission folder at quarterly meetings with Pastor.
  • Assist the Pastor in setting up the Mission Conference.
  • Assist the Pastor in scheduling missionary speakers.
  • Setup the Missions Team to communicate with Missionaries via email each month.
  • Coordinate with the Mission Committee of the Pastor, Mission Trustee and Mission Deacon.
     
          3. Oversee the Janitorial staff
  • Cleaning
  • Grounds
  • Nursery
     
           4. Pray with the Pastor on Sundays at 5:40pm.

           5. Attend bi-monthly trustee meetings.

           6. Go on visitation once a month on a rotation.

           7. Attend annual budget meeting in December.

           8. Each Trustee will oversee an area of: Missions, Cleaning, Grounds and Nursery.

1 Thessalonians 4:9-12, “But as touching brotherly love ye need not that I write unto you: for ye yourselves are taught of God to love one another.  10 And indeed ye do it toward all the brethren which are in all Macedonia: but we beseech you, brethren, that ye increase more and more;  11 And that ye study to be quiet, and to do your own business, and to work with your own hands, as we commanded you;  12 That ye may walk honestly toward them that are without, and that ye may have lack of nothing.”

Treasurer
  1. Plans the budget with the Pastor and Financial Secretary in November.
  2. Counts the offerings with either of the Chairmen or Financial Committee Member.
  3. Signs checks with the Financial Secretary and/or either Chairman and examine each reason for purpose before signing each check.
  4. Previews the reports before monthly finance committee to make corrections.
  5. Attend and oversee the Finance Committee meetings.
  6. Pray with the Pastor on Wednesdays at 6:40pm.
  7. Act as the Chief Financial Officer of the Effingham Baptist Church Corporation.
Proverbs 3:9-10, “Honour the LORD with thy substance, and with the firstfruits of all thine increase:  10 So shall thy barns be filled with plenty, and thy presses shall burst out with new wine.”

Church Clerk
  1. Take the minutes for all business meetings of the church.
  2. Email the minutes to the church office for record keeping and computer entry.
  3. Sign all business meeting minutes with the Pastor.
  4. Give a report in the annual business meeting of the church in January on additions by baptism, letter or statement and transfers or dismissals.
  5. Accurately update and correct the membership quarterly.
    1. Members that have not attended or given to the church in 2 years are removed from the roll.
    2. Members that have not attended or given to the church in 6 months are moved to the inactive.
    3. Any former members can be renewed with a confession to the Pastor, a recommendation by the Deacons, and a vote of 2/3 majority of the church.
  6. Send requests for membership and membership transfers out at the end of each month.
John 19:35  And he that saw it bare record, and his record is true: and he knoweth that he saith true, that ye might believe.

Hospitality Team
  1. Maintain a list of individuals willing to make meals.
  2. Any church member that has suffered a loss of immediate family (Mom, Dad, Daughter, Son, Brother, Sister) will be offered by the hospitality team a meal provided by the church at the family’s convenience (All other family members are to be cared for by the member’s Sunday School class).
  3. Any church member that has underwent surgery or a hospital stay will be offered by the hospitality team a meal provided by the church at the family’s convenience up to three meals.
 Romans 12:10-13, “Be kindly affectioned one to another with brotherly love; in honour preferring one another;  11 Not slothful in business; fervent in spirit; serving the Lord;  12 Rejoicing in hope; patient in tribulation; continuing instant in prayer;  13 Distributing to the necessity of saints; given to hospitality.”
